Bletchley Consultants Privacy Notice 

Introduction 

As part of any recruitment process, Bletchley Consultants collect and process personal data relating to candidates. BLETCHLEY CONSULTANTS is committed to being transparent about how it collects and uses that data and to meeting its data protection obligations.

What information do BLETCHLEY CONSULTANTS collect?

BLETCHLEY CONSULTANTS  collects a range of information about you as a candidate, but only to the extent necessary as set out in this Privacy Notice. This includes:

  • Your name, address and other contact details (including email address telephone and mobile number);
  • Details of your qualifications, skills, experience and employment history;
  • Information about your current level of remuneration, including benefit entitlements;
  • Whether or not you have a disability for which BLETCHLEY CONSULTANTS needs to make reasonable adjustments during the recruitment process; and
  • Information about your entitlement to work in the UK.

BLETCHLEY CONSULTANTS  acts as a data controller in respect of this information and may collect this information in a variety of ways, for example through online application forms and other forms completed by you, CVs or resumes, your passport or other identity documents, or through interviews or other forms of assessment, including online tests /assessments.

In some cases, BLETCHLEY CONSULTANTS may also collect personal data about you from third parties, such as references supplied by former employers, information from employment background check providers and information from criminal records checks. BLETCHLEY CONSULTANTS  will seek information from third parties only once a job offer to you has been made and will inform you that it is doing so.

Where BLETCHLEY CONSULTANTS collects personal data directly from you, it will inform you about:

(a)The purpose or purposes for which it intends to process your data.

(b)The types of third parties, if any, with which it will share that personal data.

(c)The means, if any, with which you can limit BLETCHLEY CONSULTANTS’ use and disclosure of your data.

Where BLETCHLEY CONSULTANTS  receives personal data about you from a third party or another source, it will provide you with this information as soon as possible after that. Data is stored in a range of different places, including on your application record, in BLETCHLEY CONSULTANTS’ talent management systems and other IT systems, including BLETCHLEY CONSULTANT’s email system.

Why do BLETCHLEY CONSULTANTS  process personal data?

BLETCHLEY CONSULTANTS will only process personal data for the specific purposes set out in this Privacy Notice or for any other purposes specifically permitted by data protection legislation. 

BLETCHLEY CONSULTANTS need to process certain of your data to take steps at your request before entering into a recruitment referral on your behalf. 

In some cases, BLETCHLEY CONSULTANTS needs to process your data to ensure that it is complying with its legal obligations. For example, to check a candidate’s eligibility to work in the UK before a recruitment referral is sent to a client.

In other cases, BLETCHLEY CONSULTANTS  has a legitimate interest in processing personal data during the screening process and for keeping records of the process. Processing data from candidates allows BLETCHLEY CONSULTANTS to manage the candidate referral process, assess and confirm a candidate’s suitability for a candidate referral.  BLETCHLEY CONSULTANTS may also need to process data from candidates to respond to and defend against legal claims.

Processing candidates data allows BLETCHLEY CONSULTANTS  to:

  • Run recruitment processes;
  • Maintain accurate and up-to-date candidate records;
  • Ensure effective general administration; and
  • Respond to and defend against legal claims.

BLETCHLEY CONSULTANTS may process special categories of data, such as information about gender, age, etc. to monitor recruitment statistics. Your data will be pseudonymised or anonymised whenever appropriate before being processed for such purposes.  BLETCHLEY CONSULTANTS may also collect information about whether or not candidates are disabled to make reasonable adjustments for candidates who have a disability. BLETCHLEY CONSULTANTS will process such information to fulfil its obligations and exercise its duty of care to all candidates.

For some roles, BLETCHLEY CONSULTANTS require information about criminal convictions and offences. Where BLETCHLEY CONSULTANTS seeks this information, it does so because it must both filful its statutory obligations and the client requirements.

If your candidate is unsuccessful, BLETCHLEY CONSULTANTS  may keep your data on file in case there are future opportunities for which you may be suited. BLETCHLEY CONSULTANTS will ask for your consent before it keeps your data for this purpose, and you are free to withdraw your consent at any time.

Who has access to data?

Your information may be shared amongst Bletchley Consultants and with client recruitment managers. BLETCHLEY CONSULTANTS will not share your data with third parties unless required to do so to fulfil clients requests for references, employment background checks, education certificate verification and to conduct necessary criminal records checks. 

BLETCHLEY CONSULTANTS will not transfer your data outside the European Economic Area.

How do BLETCHLEY CONSULTANTS  protect data?

BLETCHLEY CONSULTANTS  takes the security of your data seriously and has internal policies and controls in place to ensure that your data is not lost, accidentally destroyed, misused or disclosed, and is not processed accessed except as set out in this Privacy Notice. All personal data that references you are processed following our Data Protection Policy. 

Where BLETCHLEY CONSULTANTS  engages third parties to process personal data on its behalf, it will only do so based on written instructions which shall ensure the third parties are under a duty of confidentiality and are obliged to implement appropriate technical and organisational measures to ensure the security of data.

For how long do BLETCHLEY CONSULTANTS  keep data?

If your application is unsuccessfully matched, BLETCHLEY CONSULTANTS will hold your data on its 

Your rights

As a data subject, you have several rights in respect of your data. You can:

  • Access and obtain a copy of your data on request;
  • Request BLETCHLEY CONSULTANTS  to change incorrect or incomplete personal data;
  • Request BLETCHLEY CONSULTANTS  to delete or stop processing your data in certain circumstances, for example where the data is no longer necessary for processing; and
  • Object to the processing of your data where BLETCHLEY CONSULTANTS is relying on its legitimate interests as the legal ground for the processing.

BLETCHLEY CONSULTANTS will ensure that all personal data it holds is accurate and up to date and will not keep it for longer than is necessary for the purposes for which it was collected. BLETCHLEY CONSULTANTS  will check the accuracy of any personal data at the point of collection and at regular intervals afterwards and will take all reasonable steps to erase, destroy or amend data which is inaccurate, out-of-date or no longer required.

What if you do not provide personal data?

You are under no statutory or contractual obligation to provide personal data to BLETCHLEY CONSULTANTS  during the recruitment process. However, if you do not do so, BLETCHLEY CONSULTANTS may not be able to process your application properly or at all.
